How Far in Advance Should You Book Your Wedding Venue?

July 17, 2026 5 min read

If you’ve just got engaged and started looking at venues around Hainault, Ilford or the wider Essex border, you’ve probably already noticed the good dates disappear fast. It’s one of the most common questions we get asked by couples enquiring with us, and the honest answer is: earlier than most people expect, especially if your wedding involves more than one event.

Here’s a proper breakdown of the timeline, and why multi-day Asian weddings need a different plan than a single-day Western wedding.

The Standard Timeline: 12 to 18 Months Out

For a single-day wedding, most planners recommend booking your venue between six and eighteen months ahead, with a year being the safe middle ground. Popular venues, weekend dates, and peak season (roughly May through September) get booked out furthest in advance, sometimes 12 to 18 months ahead for the most in-demand Saturdays.

If you’re flexible on your date, particularly a weekday or an off-peak month, you can often secure a venue with less notice. But if your date matters more than the venue, book as early as you possibly can. This holds especially true across Ilford, Barkingside, Chigwell, Woodford and Romford, where larger venues with genuine 800-guest capacity are limited, and the good weekend dates get reserved well over a year out.

Why Multi-Day Asian Weddings Need More Lead Time

This is where most generic wedding planning advice falls short, because it assumes a single ceremony and reception on one day. Pakistani, Indian, Bengali, and Sikh weddings typically involve several distinct events, often across two or three days, sometimes at more than one location. That changes the planning math considerably.

A typical multi-event wedding might include:

  • Mehndi night — usually the evening before the main event, often at a smaller venue or the family home
  • Nikaah, Baraat, or Anand Karaj — the core ceremony, timing and location depending on your tradition
  • Walima or reception — frequently the largest and most formal event, sometimes held days after the ceremony itself

Coordinating catering, décor changes, and guest logistics across multiple events means you’re not just booking one date, you’re often trying to secure two or three dates in a row, sometimes at the same venue to keep things simple for your guests. That’s considerably harder to pull off with only a few months’ notice, particularly for larger venues that can handle 500 or more guests.

Our recommendation: if your wedding involves more than one event, start venue conversations 12 to 18 months out, not six. Venues that can host your Mehndi, your main ceremony, and your reception across consecutive days, all in one place, tend to book out fastest, simply because so few venues can offer that flexibility, and across Hainault, Ilford and East London, the number of venues with that kind of capacity and grounds is genuinely limited.

A Realistic Planning Timeline

12 to 18 months before Set your overall budget, agree who’s contributing (see our guide on who pays for the wedding for more on that conversation), and start shortlisting venues. Book your venue and confirm your date, or dates, as early as you can.

9 to 12 months before Book your caterer if your venue doesn’t include it, confirm your photographer and videographer, and start outfit shopping, this takes longer than people expect for multi-day weddings with several outfit changes.

6 to 9 months before Finalise décor and stage design, confirm entertainment or a DJ, and send save-the-dates if you haven’t already.

3 to 6 months before Send formal invitations, finalise your guest list and seating plan, and confirm final catering numbers and menu choices with your venue.

1 to 3 months before Confirm final headcounts, do a final venue walkthrough, arrange transport for the wedding party, and sort out anything you’ve been putting off.

Final month Confirm timings with every vendor, pack for the day, and try to actually enjoy the run-up rather than spending it entirely on logistics.

What to Ask a Venue Before You Book

  • Can you host more than one event across consecutive days?
  • Is the guest capacity confirmed in writing for your specific space?
  • Is catering in-house, or do you need to arrange it separately?
  • Is there enough on-site parking for your full guest list, and is the venue easy for guests travelling from across Ilford, Essex or East London to reach?
  • Can the space handle segregated seating or specific cultural requirements if needed?

Frequently Asked Questions

How far in advance should I book a wedding venue?
Between six and eighteen months, with twelve months being a safe general target. Popular venues and peak season dates (May to September) get booked furthest in advance.

Do multi-day Asian weddings need to book earlier?
Yes. If your wedding includes a Mehndi, ceremony, and Walima or reception across multiple days, start venue conversations 12 to 18 months ahead, since securing consecutive dates at one venue takes longer than booking a single day.

What’s the first thing I should book for my wedding?
Your venue and date. Nearly everything else, catering, photography, outfits, invitations, is planned around that.

Can one venue host all the events in a multi-day wedding?
Some can. It’s worth asking directly whether a venue can accommodate your Mehndi, ceremony and reception across consecutive days, since this varies significantly by venue and by season.

How many guests can The Willows accommodate?
Up to 800 guests in our Grand Ballroom, with a smaller Premier Suite available for up to 120 guests for more intimate events like a Mehndi night.
